USED COPIER BUYING TIP

The other day a prospect said that he wanted to compare “apples to apples”  with the various quotes he was gathering.  I’ve heard that before so I didn’t dwell on it.  However, later it occurred to me that’s hard to do that with used copiers because the introduction date of the copier is critical.  Do you think it’s better to buy a 3 year old copier with 300,000 on the meter or a 5 year old copier with 200,000 on the meter.  The answer is a 3 year old copier and the rest of the blog explains why.  The ideal situation is a 3 year old copier with 200,000 on the meter but that’s the subject of a future blog. IS THE DONATED COPIER REALLY A DONATION?

One thing I see too much of is non-profits being given a donated copier that has no value and service issues. The motivation of the donor is predictable. They bought a new copier and were told their current ten year old copier had no value. Then the sales rep winks and says but donate it and take a fat tax deduction. Plus, it seems altruistic to give something to a needy organization. Well, there was a reason the copier had no trade-in value. Usually, it’s so old that the manufacturer no longer makes parts which makes a maintenance agreement non-existent. Or, it so old that Windows 8 drivers aren’t available for setting up printing or scanning with your new computer. However, the one that really gets me is the true cost of repairing the copier to operate properly. There was a reason why the original owner traded it in. WHEN IS NEW BETTER THAN USED?

In the old days a used copier was almost always cheaper than new.   Now, that’s not always the case and I’m not talking about the store bought machines with the expensive supplies.  Those machines only make sense for the home if the volume is very low.   If you don’t need 11 x 17 and stapling but need commercial grade reliability and features;  than new might be cheaper.  This has launched the A4 copier category which is a step above stores but not large and expensive like the traditional office copier.  Again, these are not high volume MFPs and the supplies are cheaper than stores but more per page than the larger copiers.   If that is the case, a good website is A4copiersaustin.com where you can see examples of the smaller commercial grade copiers.  A3 simply means they can do 11 x 17 as well as letter and legal.   A late model refurbished MFP makes sense at higher volumes because of the cheaper supplies.  Also, larger copiers tend to offer extra … [Read more...]

INTERNET SALES

Think twice before you buy a copier off the internet because you will need a service relationship with a local dealer.  Lately, I’ve been getting calls from people who  bought a used copier off the internet and they can’t get anybody to service it locally.  The vendor in MD or MN or wherever usually says, “don’t worry about getting service locally;  just get out your local phone book.”   Well in an ideal world that would probably work but not in a lot of cases.  Sometimes the copiers arrive with some damage or they have a spotty reliability reputation.  The guy in MD or CA isn’t going to loose sleep over that;  you are.  I buy books over the internet but I’m not going to buy something that requires service locally and you should do the same when it comes with copiers and here’s why.   Used copiers usually work out but not always.  If you bought the used copier locally there’s always a Plan B or solution because there’s no place for the owner of the copier company … [Read more...]

LEASE CANCELLATION STRATEGY

The sooner the better.  Each leasing company has different terms and they are usually two to four months before expiration.  If you miss that window they also have different terms.  Some require a 30 to 60 notice to cancel if you missed the original window.  Others go ahead and renew the lease for the year which is good for them and the current vendor because it locks out competition.  The only person who can get you out of it is the current vendor as long as the new lease is with the current leasing company.  There’s not much incentive you give you much of a discount in that scenario.   Another thing to consider is what happens to the copier even if you cancel in time.  Whatever vendor was awarded your new business should help you with this.  You will get some intimidating instructions from the leasing company telling you to prepare to ship it; insure it;  send it halfway across the country;  and ask you if you want to pay money to erase the HDD.   Here’s what we … [Read more...]

BEFORE YOU BUY THAT USED COPIER…ll

Most people buy or lease a copier with the expectation of printing and scanning.  Now that PC users are migrating to Windows 8 and MAC users are getting 10.9.4 you need to know that a lot of older copiers will not have Scan Drivers available.  You may have standardized on Windows 7 or XP and assume it’s not important but the first time you replace a PC or hire someone and outfit them with a PC you will only be offered Windows 8.1.  Only new copiers and late model used copiers will have scan drivers.   It isn’t Microsoft’s fault.  The fault is with the copier manufacturers who don’t want to go to the expense of developing drivers for older models when the population is shrinking and they would prefer people upgrade.  Also, older copiers print certain things really slow.  Late model used copiers, like new copiers, will print PDF attachments much quicker.   So, why am I bringing this up?  You may be looking a used copier with a low meter at a great price.  It’s … [Read more...]
